General Purpose

Reporting to the Director of the School of Environmental Sciences (SES) and the Director of Business Operations, the Administrative Officer is responsible for the day-to-day operations of the School of Environmental Sciences. This role is accountable for the development and management of administrative processes that support SES. The incumbent will be responsible for business operations, human resource management, facilities management and developing strategies and systems to achieve the school’s financial goals, monitoring and managing operating budgets and research accounts, and overseeing revenue generation activities. The Administrative Officer has supervisory responsibilities for USW staff. This position is also responsible for assisting with the financial and administrative aspects of the University of Guelph Arboretum.

 

Duties and Responsbilities

  • Manage all unit budgets, financial processes and financial analysis for the Director, College and University including academic, research and teaching budgets;
  • Prepare financial reports regularly, investigate and report variances and recommend financial strategies;
  • Manage all unit human resource functions including reviewing of job fact sheets, advising on personnel matters and verifying reports;
  • Oversee daily administrative operations and facilities management;
  • Ensure compliance with University and College policies and procedures;
  • Liaise with University and College offices as appropriate;
  • Supervise staff who provide human resource support, academic support, and procurement support.

 

Requirements

  • Undergraduate degree in business administration or a related field.
  • A professional accounting designation is preferred with at least three years related work experience or an equivalent combination of education and experience.
  • Previous leadership experience and supervisory responsibilities.
  • Experience in financial and human resource management. 
  • Analytical ability and critical thinking.
  • Excellent communication and interpersonal skills. 
  • Problem solving and ability to work independently.
  • A strong working knowledge of University of Guelph policies and procedures, as they relate to a diverse teaching/research unit, would also be considered an asset.
  • The ideal candidate possesses high-level skills spanning: organization, communication, strategic planning, team-building, service orientation, analysis, professional judgment, tact, diplomacy; and, the ability to work both pro-actively and re-actively under tight time-frames and competing priorities; very strong computer skills including Excel, Word, and Financial Reporting Systems, as well as strong analytical, financial and management skills are essential to this position.
