Duties and Responsibilities

The Manager, Graduate Student Records and Progression (GSRP), reporting to the Director of the Office of Graduate Studies, now within the Office of Registrarial Services, is responsible for overseeing the Graduate Records team and supporting and managing all daily processes and policies related to current graduate student registration, records, progression, and completion, including providing regular support during peak periods of each term.

 

This individual is committed to developing and delivering supportive services and presentations that promote student progression, and works closely with various members of the Office of Registrarial Services, as well as university departments such as Student Experience, Institutional Research and Planning, and Audit Services, to ensure effective enrolment management and alignment with institutional expectations and reporting requirements.

 

Additionally, the Manager, GSRP, is responsible for creating and maintaining regular communications and web content that support graduate student success. The Manager, GSRP, is also responsible for continuously reviewing and proposing process improvements aimed at reducing barriers for students and staff through recommendations related to process adjustments, automation, and system utilization, such as GryphForms. This role is critical in organizing cases and serving as a policy resource for the Admissions and Progress Committee, which reviews petitions for academic consideration and other student exception requests.

 

Requirements:

  • A Master’s Degree in a related field with 5-7 years of experience, or an equivalent combination of education and experience.
  • Experience in a postsecondary environment, preferably in graduate studies.
  • A highly developed ability to analyze policy processes and cross area impacts, with a thorough understanding of related workflows.
  • The ability to balance the strategic and tactical requirements of the role, while demonstrating sound judgement, initiative, and the ability to work independently and as part of a team.
  • Exceptional written communication skills, with the ability to effectively communicate policy requirements and increase the overall clarity of expectations and timelines.
  • Strong organizational, project management, time management, and interpersonal skills, with the ability to work well under pressure in a fast paced environment.
  • Strong system proficiency, including experience streamlining processes and improving efficiencies, with knowledge of systems such as Ellucian Colleague or an equivalent student information system, Informer or an equivalent reporting system, ExperienceApps or an equivalent document management system, Microsoft Office 365, including Planner or Trello, Teams, Visio, Power Automate, and SharePoint, Adobe Acrobat, and GryphForms, BP Logix Process Director, or an equivalent digital forms and workflow suite.
