General Purpose

Join the University’s central Human Resources Talent Acquisition team and contribute to the delivery of efficient, compliant, and high-quality academic recruitment and onboarding (hiring) services.

As a Recruiting Specialist, you will support the hiring of Faculty, College Professors, Teaching Assistants, Sessionals, and Postdoctoral Scholars across eight colleges and three campuses. In collaboration with Human Resources and Faculty and Academic Staff Relations colleagues, you will serve as a trusted advisor to academic units, guiding recruitment and hiring activities in alignment with UGFA, CUPE 3913, and USW collective agreements as well as within University policies and frameworks.

In this role, you will provide technical guidance on the Gryphons at Work HRMS, including troubleshooting, issue resolution, and promoting accurate system use. You will also support departments in implementing inclusive recruitment practices and contribute to process optimization, reporting, and recruitment analytics to strengthen operational effectiveness.

Duties and Responsibilities

  • Collaboratively partner with Hiring Managers and Department Administrators to provide guidance and support on recruitment and hiring processes and best practices.
  • Administer Faculty recruitment requisitions from intake through offer, ensuring compliance with collective agreements, policies, and service standards.
  • Review Faculty posting descriptions to ensure language is inclusive, equitable, and free from bias.
  • Coordinate recruitment advertising for Faculty requisitions, including associated tracking and internal billing processes.
  • In consultation with Faculty and Academic Staff Relations colleagues, provide guidance on equitable and inclusive candidate screening, interviewing, selection, reference checking, and offer processes for academic searches as required.
  • Support the preparation and execution of offers of employment for Faculty, ensuring alignment with collective agreements and compensation guidelines.
  • Provide recruitment and onboarding (hiring) system guidance, instruction and support within Gryphons at Work HRMS, including ticket resolution and process guidance.
  • Administer LMIA-exempt employment offer submissions for academic visitors through the IRCC Employer Portal and respond to related audits and inquiries.
  • Monitor and audit recruitment and hiring/onboarding activity, and identify opportunities to improve efficiency and service delivery.
  • Support the collection, analysis, and reporting of recruitment and hiring/onboarding metrics.
  • Contribute to recruitment and onboarding process improvement initiatives, research, and benchmarking activities.

 

Requirements

  • Bachelor's degree coupled with 2-3 years of relevant experience or equivalent combination of education and experience. 
  • Experience supporting recruitment and hiring activities, preferably within a complex, unionized environment.
  • Knowledge of equitable, inclusive, and barrier-free hiring practices.
  • Familiarity with collective agreements and recruitment-related employment legislation.
  • Demonstrated relationship-building and consultation skills, with the ability to influence and advise diverse stakeholders.
  • Exceptional organizational skills and attention to detail, with the ability to manage multiple priorities in a fast-paced environment.
  • Experience working with applicant tracking systems and HRMS platforms, preferably SAP SuccessFactors.
  • Strong analytical skills with the ability to interpret recruitment data and identify trends and opportunities.
  • Excellent written and verbal communication skills, with a commitment to delivering outstanding client and candidate experiences.
  • Highly collaborative with a mindset toward driving continuous improvement.

The target hiring salary for this position is minimum and up to 96% of midpoint for the salary grade.
