Duties & Responsibilities
We are seeking a highly organized, detail-oriented, and service-focused Talent Acquisition Associate to support the team to deliver effective and efficient recruitment and onboarding processes across the University. As a key contact for department managers and administrators, this role provides guidance, coordination, and problem-solving support throughout the recruitment lifecycle.
The Talent Acquisition Associate will support a range of recruitment activities, including requisition intake and approvals, job advertising, interview and reference scheduling, candidate communications, and onboarding. The role will also administer LMIA-exempt offers of employment through the IRCC Employer Portal, coordinate external advertising and invoicing, and maintain accurate and engaging recruitment information on internal and external websites.
A significant part of the role involves supporting stakeholders in using the University's recruitment and onboarding processes and technology effectively. The Associate will become proficient in Gryphons at Work (SAP SuccessFactors) and serve as a knowledgeable resource for managers, administrators, candidates, and HR colleagues. While system enhancements and technical expertise are led by the HR Systems and Data team, the Associate will work closely with that team and in collaboration with the Talent Acquisition team to identify functional needs, support testing, and help ensure stakeholders can navigate and use the system effectively.
The Talent Acquisition Associate will also support the Director with recruitment reporting and metrics, and provide back-up administrative support to other functions within the department as required.
Requirements
- Post-secondary education (minimum college diploma) ideally in Human Resources or a related discipline, combined with at least two years of relevant administrative experience, or an equivalent combination of education and experience.
- Experience supporting recruitment and selection activities; experience working in a unionized environment is an asset.
- Experience working with an enterprise HR or recruitment system is an asset, with the ability and willingness to become proficient in SAP SuccessFactors.
- Intermediate Excel skills, including the ability to work with large datasets, use formulas and lookup functions, and create and work with pivot tables.
- Proficiency with Adobe Acrobat and experience with web publishing tools such as SharePoint are assets.
- Exceptional attention to detail, accuracy, and record-keeping skills, with a strong commitment to following established processes.
- Ability to manage a high volume of varied work, prioritize competing demands, and meet compressed timelines.
- Analytical and problem-solving skills, with the ability to identify issues and determine appropriate solutions or when to escalate.
- Excellent written and verbal communication skills.
- Client service orientation and the ability to build effective relationships with a diverse range of stakeholders.
- Demonstrated tact, diplomacy, and sound interpersonal skills when working with managers, administrators, candidates, HR colleagues, and other stakeholders.

The target hiring salary for this position is minimum and up to 96% of midpoint for the salary grade.
