General Purpose
Reporting to the Administrative Assistant, the Undergraduate Program Assistant in the Department of Political Science is responsible for supporting all undergraduate academic matters handled by the department. The incumbent is vital to the everyday operation and long-term maintenance of the undergraduate programs.
The Political Science department consists of 2 full-time staff, 27 faculty members, several sessional lecturers, and approximately 20+ grant-funded employees. The Department offers undergraduate programs in Political Science and Justice and Legal Studies (JLS); two graduate programs (MA, PhD in Political Science); and two collaborative programs (undergraduate – Criminal Justice and Public Policy; graduate – Criminology and Criminal Justice Policy).
Duties and Responsibilities
Key job responsibilities include:
- Assisting the Chair and the Undergraduate Coordinator with scheduling of courses and the final exam schedule
- Dealing with program inquiries and correspondence related to the undergraduate program
- Monitoring student enrolment
- Managing TA and invigilator postings
- Obtaining information and maintaining records
- Uploading grades
- Administering deferred grades
- The duplication and distribution of course material
- Maintenance of the Department’s website
- Coordinating textbook orders
- Scheduling and conducting course evaluations
- Helping to administer speakers events
- Providing general office assistance and back up support as needed
- Communication (email, social media)
- Assist with entering program changes for the University calendar using the University’s software (CIM)
Requirements
Requirements of the position include:
- Two (2) year Community College diploma
- A minimum of eighteen (18) months previous experience in an academic department
- Excellent time management skills
- Clear knowledge of the University’s administrative, financial, personnel policies and procedures as they pertain to undergraduate and graduate students, as well as the University’s programs and services
- Proficiency with Colleague, CIM, Data Collection Utility (DCU), Academic Staff Work Assignments Portal, MS Office software (Outlook, Teams, Word, Excel, PowerPoint, Access, and Publisher), and Adobe Acrobat Pro
- Proven ability to work accurately and promptly under pressure in a fast-paced environment is essential, as are excellent interpersonal, oral and written communication skills
- The successful candidate must be detail-oriented, dependable, and able to compose clear and concise correspondence
